Job Description

As the Operations Administrator, you are responsible for ensuring the day-to-day operations of Closer&Closer run smoothly by acting as the company's internal project manager and administrator. Your primary responsibilities include managing internal projects, creating and managing company documents, organizing/scheduling meetings for the team, and any other administrative tasks that arise related to internal operations or artist management.

You use your strong project management and administration skills to support the Artist Management team by facilitating project paperwork and stepping in to help with project management as needed. You are comfortable using digital tools as a way of systemizing these efforts and are technologically savvy enough to lead them whenever needed.

In the end — you love using your strong project management and administrative skills (organization, attention to detail, speed, etc.) to support the team and ensure the company runs smoothly day-in and day-out.

Summary of Responsibilities


Artist Management Administration & Project Management
  • Facilitate paperwork for artist projects
  • Ensure each project has the proper paperwork before it goes to billing and collections
  • Ensure each deal contains accurate data before it goes to billing and collections
  • Manage Artist Projects as needed
  • Set up project boards in Asana
  • Coordinate with key stakeholders
  • Assign tasks to key stakeholders
  • Check-in on projects at key milestones - ensure they stay on schedule



Operations Administration & Project Management
  • Direct administrative assistance to CEO and COO
  • Manage all internal projects
    • Set up project boards in Asana
    • Coordinate with key stakeholders
    • Assign tasks to key stakeholders
    • Check-in on projects at key milestones - ensure they stay on schedule
  • Create company documents
  • Organize company documents
  • Review company documents
  • Maintain employee records
  • Manage software licenses and subscriptions
  • Manage and update company databases
  • Provide training for the team on how to properly use core company software and processes
  • Manage company calendar



Planning/Scheduling
  • Coordinate and book calendar events for the executive team
  • Organize internal company events and ensure that everyone has agendas/instructions ahead of time
  • Organize team events such as birthday parties, going away parties, etc
  • Organize company events such as monthly artist meetups, etc


Compensation range: $50,000-60,000

Desired start date: December 15, 2022



Job Requirements

  • 4+ years experience as a project manager, production coordinator, office manager, or operations administrator
  • Preference given for Six Sigma certification
  • Proven project management experience
  • Excellent written and verbal communication
  • Experienced at creating project proposals
  • Experienced at reading agreements
  • Presentable dedicated home office
  • Proficient in Google Suite
  • Experience with Asana or similar project management software
  • Proficient in Microsoft Suite
  • Experience using a CRM (Pipedrive)
  • Proficient at designing presentations in Keynote or Google Slides
  • Experienced with Photoshop, Illustrator, and InDesign
  • High School Diploma required; BA/BS preferred

Location

Preferred: Los Angeles or Austin
Preferred time zones: PST, MST, or CST
EST (i.e. NYC) is not a HARD NO. However, for cohesion in the US (note that our artists are global), EST is not preferred.

Working Setup

Please note this is a remote position
The team member must have a presentable Home Office. Closer&Closer will provide a computer and all software needed to perform the job.

Hours

8:30am to 5:30pm or something similar in your respective time zone, Monday through Friday.
